How to Manage WooCommerce Orders in Your WordPress Dashboard

Once your store starts receiving orders, knowing how to manage them efficiently keeps your customers happy and your operations running smoothly.

Finding Your Orders #

  1. Log in to your WordPress dashboard.
  2. In the left-hand menu, click WooCommerce, then Orders.
  3. You’ll see a list of all orders, including customer name, order date, status, and total.
  4. Use the search bar to find a specific order by customer name, email, or order number.
  5. Click on any order to view full details.

Understanding Order Statuses #

  • Pending Payment — Order received, but payment hasn’t been confirmed yet.
  • Processing — Payment received; the order is ready to be fulfilled or shipped.
  • On Hold — Awaiting payment confirmation, often used for manual payment methods.
  • Completed — The order has been fulfilled and shipped.
  • Cancelled — The order was cancelled by the customer or store admin.
  • Refunded — Full or partial payment has been returned to the customer.
  • Failed — The payment attempt was unsuccessful.

Processing a Refund #

  1. Open the order you want to refund from WooCommerce > Orders.
  2. Scroll to the Order Items section.
  3. Click Refund.
  4. Enter the amount to refund — full order or partial amount.
  5. If your payment gateway supports it, check the box to automatically process the refund through the gateway.
  6. Click Refund [amount] via [Gateway] to complete.
  7. The order status will automatically update to “Refunded.”

Sending Customer Notifications #

WooCommerce automatically sends certain email notifications based on your store’s email settings. To manually resend:

  1. Open the relevant order.
  2. Look for the Order Actions panel on the right side.
  3. Choose Resend order details to customer or Email invoice to customer.
  4. Click Save to trigger the email.

You can customize automatic emails under WooCommerce > Settings > Emails.

Keeping Orders Organized #

  • Update order statuses promptly as you fulfill them.
  • Use the filters at the top of the Orders page to quickly view orders by status.
  • Regularly review “Failed” or “Pending Payment” orders as these may need customer follow-up.
